What a South African invoice needs

  • ✓The words “Tax Invoice”. If you're VAT registered, the document must say so. If you're not, just use “Invoice” and don't charge VAT.
  • ✓Your business details. Name, address, phone and, if registered, your VAT number.
  • ✓Your customer's details. Their name and address. For invoices above R5,000, a VAT-registered customer's VAT number is needed too.
  • ✓An invoice number and date. A unique, sequential number makes every invoice easy to find and is expected for tax invoices.
  • ✓Itemised lines. A clear description, quantity and price for each item or task, rather than one lump sum.
  • ✓VAT shown separately. Subtotal, VAT (15%) and total, so the customer can see exactly what the VAT is.
  • ✓Payment terms and banking details. When payment is due, and where to pay, with the invoice number as the reference.

Common invoice questions

›What must a South African tax invoice include?

In general: the words “Tax Invoice”, your name, address and VAT number, an invoice number and date, a description of the goods or services, the quantity, and the price together with the VAT amount (or a statement that VAT is included). For invoices above R5,000, the customer's name, address and VAT number (if they are registered) are needed as well. Confirm the current requirements with SARS or your accountant.

›Do I need to be VAT registered to send an invoice?

No. Anyone can invoice a customer. Only VAT-registered businesses issue tax invoices and charge VAT. If you're not registered, issue a plain invoice without VAT and, ideally, state that you are not VAT registered.

›How long should I give customers to pay?

There is no fixed legal period. 7, 14 and 30 days are the most common. Put the due date on the invoice and be consistent. Shorter terms help your cash flow, especially on smaller jobs.

›How long must I keep my invoices?

Generally for five years. Keep copies of every invoice you issue and receive, as SARS can ask for them.

›Can I download the invoice template in Word or Excel?

Yes. Both are free, with no sign-up. The Word (.docx) version is best for editing and printing. The Excel (.xlsx) version adds up the line items, VAT and total automatically as you type. You can also print either one to PDF.
